SOCIAL WALK REGISTER

BACKGROUND:

LDWA's public liability insurer requires us to collect participant information for Social Walks, Trips Away and Other Group Events.  Although the LDWA consider a claim unlikely, the possible damages, if uninsured, would be unacceptably high.

The insurance covers liabilities to farmers and others if someone leaves a gate open, for example, or the group causes damages, deliberately or accidentally.
But note that it also covers the LDWA against claims made by one of the walkers for negligence by the walk leader!

Although the need to collect this information has nothing to do with data protection, once collected, there is then an obligation to manage the data responsibly to comply with the GDPR data protection regulations.

Robert Cope has agreed to co-ordinate this process on behalf of North Yorkshire Group.  

WALK LEADER RESPONSIBILITIES (AT TIME OF WALK):

Walk leaders are asked to record the following details for anyone taking part on their social walk.

  • Members: name and membership number
  • Potential members (and any members who do not know their number): name and either postal address or email address or mobile number.

There is a standard template document which may be printed here: Social Walk Register.  Provided it is legible and fully completed the walk register can be handwritten, creased and untidy!

WALK LEADER RESPONSIBILITIES (AFTER THE WALK):

After your walk please submit the completed Social Walk Register to me (at your convenience).  There are several ways to do this:

  • If I am on the walk I can take it away with me
  • If you have "scan to email" capabilities (either smartphone or home scanner) then you can email it (typically resulting in a .pdf file)
  • Similarly if you have smartphone "photo to email" capabilities (typically resulting in a .jpg file)
  • If none of the above is convenient please contact me (I may be on the following week's walk for example)
